Crew and passenger logistics

Hotels and cars are booked against the schedule rather than the itinerary, so when the schedule moves the bookings move with it. That is the whole value: not the booking, the rebooking.

What we do

Every item, handled by a named coordinator

  • 01Crew hotels booked within duty and rest requirements, near enough to the field to protect the report time.
  • 02Passenger hotels and cars arranged to the standard the trip expects.
  • 03Vetted drivers and plate-side pickup where the field allows it.
  • 04Rebooking when the trip slips, diverts or cancels, including out of hours.
  • 05Ground transport timed to the turn so the car is on the stand when the door opens.
  • 06Visa and entry checks for crew as well as passengers, which is the one operators forget.

What we need from you

  • Crew names, and duty and rest requirements if they are not standard.
  • Passenger count and any preferences held on file.
  • Arrival and departure times.
  • Standard expected, and any hotel or supplier preferences.

LEAD TIME

Same day in most cities. Event weeks and peak season are limited by the city rather than by us: Davos in January and Formula One weekends have no rooms left at any price by the time the trip is confirmed.

WHAT GOES WRONG

The failure here is almost always the rebooking rather than the booking. A diversion at 2am with no one awake to move six hotel rooms turns a weather delay into a duty problem the next morning.
